Communication Plan

To ensure effective communication with stakeholders, the project team establishes a structured communication plan. The plan includes the following communication channels and activities: 

  • Weekly Status Meetings:  
    The project team conducts regular weekly status meetings to provide stakeholders with updates on the project’s progress. During these meetings, the team discusses accomplishments, challenges, and any potential risks or issues. Stakeholders have the opportunity to ask questions and provide input. 
     
  • Bi-weekly Sprint Reviews:  
    As part of the agile development approach, the project team holds bi-weekly sprint reviews. These reviews serve as a platform to showcase the work completed during the sprint and gather feedback from stakeholders. Stakeholders can assess the delivered functionalities, provide suggestions for improvements, and align the project with their expectations. 
     
  • Monthly Sprint Retrospectives:  
    At the end of each month, the project team conducts sprint retrospectives. During these sessions, they reflect on the progress made in the previous sprint, discuss lessons learned, and identify areas for improvement. Stakeholders are invited to participate in these retrospectives to share their insights and contribute to the project’s continuous improvement. 

In addition to these structured communication activities, the project team utilizes various communication channels such as email, phone calls, and instant messaging to address specific needs and ensure ongoing communication with stakeholders. By implementing this communication plan, the project team aims to foster transparency, keep stakeholders well-informed, gather valuable feedback, and ensure that the project remains aligned with stakeholder expectations throughout its lifecycle.
